⚖️ Why Generic Inventory Tools Fail HVAC: Sortly Alternative for Commercial Technicians

April 27, 2026 · 6 min read · By Equipment Tracker Team

Sortly tracks items with photos and QR codes. It cannot link a 20x25x2 MERV-11 filter to a specific Trane Voyager RTU. For commercial HVAC work, that missing connection is the entire problem.

✏️ Updated June 2026 to reflect the latest Equipment Tracker Pro features, including the AI condition assessment, invoice scanning, guest tech QR submissions, branded PDF reports, and our new Company Tools and Refrigerant Stock tracking modules.

Sortly built its reputation on visual inventory management — a clean interface that lets you photograph items, attach QR codes, and track quantities. It works well for office supplies, tools, and general inventory. It is often the first app people reach for when they need "something to track equipment."

For HVAC work, it almost works. You can create an item, attach a photo, and add custom fields. But the missing relational context adds up fast.

The Core Problem: Generic Tools Have No Relational Context

Sortly cannot natively link a 20x25x2 MERV-11 filter to a specific Trane Voyager RTU on a rooftop in Building B. In a general inventory tool, those are two separate items in a flat list. Equipment Tracker Pro's **bidirectional parent-child asset matching** means every filter, belt, and spare part is explicitly linked to the equipment it belongs to — open the RTU and see its parts, open the filter and see which unit it fits.

Sortly has no concept of a nameplate. You cannot point your camera at a data plate and extract the serial number, refrigerant type, voltage, and BTU capacity — you type everything in manually as custom fields. There is no structured service log, no parts sub-records linked to parent equipment, no PDF reports formatted for HVAC.

There is no AI condition assessment, no invoice scanner, no EPA Section 608 leak rate calculator, no guest technician QR workflow, no Transfer Inbox. Sortly also lacks refrigerant weight logging with cylinder vs. recovery tank serialization, automated fits-badging, and building-level vendor check-in logs.

Sortly's free tier limits you to 100 items. The Ultra plan runs $99/month for teams — a steep price for a tool that requires constant workarounds for the relational tracking HVAC work actually demands.

Purpose-Built vs. General Purpose

Equipment Tracker Pro was built from day one by an HVAC technician for HVAC technicians. The database schema maps to the actual fields on a mechanical nameplate. The AI reads nameplates directly. The reports speak in HVAC language — filter sizes, belt specs, refrigerant types, electrical loads, fire damper inspection logs.

The QR code system goes beyond a link sticker. Choose between Link Mode (public spec page anyone can view in a browser), Text Mode (copy-paste specs without an app), or JSON Mode (offline app-to-app data sync). Branded asset tag PDFs include your company logo. Any guest tech who scans the Link Mode tag can submit a service record directly through their phone browser — no app install, no account. Their record lands in your Transfer Inbox for approval.

For tool inventory, our newly launched Company Tools tracking section lets you log meters, recovery machines, and vacuum pumps, dynamically assigning them to buildings post-creation using quick inline autocomplete selectors. For refrigerant tracking, our stock overhaul allows you to track standard cylinders vs. recovery tanks, automatically displaying "Fits: [Equipment]" compatibility badges on both mobile and web.

Branded PDF reports include your company logo on every export. The Maintenance Summary report now supports custom date-range filters and embeds before/after service photos directly in the PDF — visual proof of work done that you can hand to a building owner the same day.

If you've been using Sortly with workarounds to track HVAC equipment, Equipment Tracker Pro is what you were trying to build. Core tracking is free. Pro — which unlocks AI scanning, condition assessment, invoice scanning, cloud backup, branded reports, QR creator, and the web dashboard — is $9.99/month or $79.99/year.
