This is an awesome app for companies to use! You can track service history, inventory, and all the information on your equipment. You can even keep track of special tools with a tool checkout system. Any technician can walk up to a piece of equipment and instantly pull up its complete service history. You can also keep track of vendors, maintenance schedules, filter and belt changes, and much more. I actually had a maintenance guy call me saying he needed a motor for a unit. I was able to pull over, look up the unit, get all the information I needed, and order the correct motor right from the information in the app. It's a great way to keep all your equipment, maintenance, inventory, and service information organized and easily accessible for your entire team.
I have been in need of a formal equipment tracker for 15+ years of mechanical / HVAC service work! This application provides detailed mechanical equipment tracking, photos with ease of generating reports to share with field technicians, office workers and customers. I highly recommend this to anyone that finds the need to be detailed, organized and professional. 5 starts!!
This app makes tracking equipment so much easier. The AI scanner is fast and pulls model and serial numbers right off the nameplates, which saves a ton of time. The new updates for work orders and the maintenance calendar are great, and I really like that the field tools are free. It is simple to use and keeps everything organized by building. Highly recommend!

Is there a free trial on every plan?
Yes — every plan has a 7-day free trial: Pro monthly, Pro annual and every Team seat tier. It is for first-time subscribers, and you won't be charged until it ends. Trial eligibility is one-time only: if you've subscribed to Equipment Tracker Pro before, a new subscription bills immediately. Cancel in the same place you subscribed: a subscription bought here on the site is cancelled from the Account page of the web dashboard, under Manage Your Plan, with Modify or Cancel Subscription; a subscription bought inside the app is cancelled in your Apple ID or Google Play subscription settings, because Apple and Google handle that billing directly.
What features are included in the Free tier?
Our free tier is genuinely unlimited and contains no ads. You can track unlimited buildings and equipment, create relational replacement parts lists, log core maintenance tasks, track general spares, and use our 100% offline barcode & QR code scanner. Every account also starts with a trial balance of 10 free AI scans.
How do the 10 free AI scans work?
Every registered account gets 10 free AI credits — sign in with Google, Apple, or email (free, no credit card) to activate them. These credits are shared across our four AI tools: the Nameplate Scanner, Condition Assessment, Invoice Scanner, and conversational Diagnostics chat. Once these 10 free scans are used, core tracking remains 100% free, while upgrading to Pro unlocks unlimited scans.
How does per-user pricing work for teams?
Team plans start at $39.99/month for 5 seats — about $8/seat, cheaper per person than 5 separate monthly Solo subscriptions ($9.99/mo each). Need a bigger crew? Every 5-seat block after the first adds $40.00/month, so 10 seats is $79.99, 25 seats is $199.99, and the ceiling is 50 seats at $399.99. No per-seat haggling, no enterprise sales call.
Does accessing the web dashboard require a Pro subscription?
Yes. The full web dashboard at equipment-tracker.com requires an active Pro subscription. The Equipment Tracker Pro mobile app's free tier works entirely offline without a subscription. Pro unlocks automatic cloud backup, which is what powers the web dashboard and live URL QR tags, and lets you restore your records onto a new or replacement phone. Pro also adds PDF report generation. The QR generator opens without Pro, because Text-mode and JSON-mode tags are free to make on the phone and on the web.
Do you need a Pro subscription to scan a printed QR tag?
No. Anyone can scan a Link Mode QR tag using just a standard phone camera — no app download, no account, and no subscription needed. Scanning opens a public web page with the equipment's specs and service history. Making tags is mostly free as well: Text-mode and JSON-mode tags cost nothing to generate, on the phone or the web dashboard, because those carry their data on the sticker. Link Mode is the paid one, because it publishes and hosts the public page the sticker points at.
Can I export my data if I cancel?
Yes. Your data belongs to you. If you cancel Pro, your records remain fully accessible on your device — nothing is deleted or locked away. A full backup ZIP of your database and photos, and restoring from one, is free on every tier, and on Android a linked-folder auto-backup is free too. Cloud backup, CSV export and the PDF reports need an active Pro subscription.
