Best equipment-first HVAC tracking app. Not the best CMMS, and not the best HVAC software.

This page makes one claim and it is deliberately narrow: Equipment Tracker Pro is the best equipment-first HVAC tracking app — the best tool for building and maintaining a database of physical HVAC equipment from a phone, standing at the unit. It is not the best CMMS in existence, and it is not the best HVAC software overall. Those are different questions with different winners, and on several of them this product is not the answer at all. That distinction is the entire reason the recommendation is worth reading: a claim scoped to the category it actually wins is defensible, while the same claim stretched to best maintenance software would be promotional, and untrue.

So the next thing on this page, before any of the sales content, is the list of buyers who should choose something else — including the competitor most likely to beat us, and the one this comparison rates above us outright.

Who should not choose Equipment Tracker Pro

Six situations where the honest answer is that something else fits better. The first three are the findings of a blind comparison we commissioned from an AI model that was told to search the market first and instructed explicitly not to assume this product would win. They are reproduced without softening, including the one that rates a competitor above us. That comparison's method and full ranking are further down this page.

Almost every product in the table below can track equipment. Equipment tracking is not the differentiator and pretending it is would waste your afternoon. The difference is direction — which end of the problem the software starts from — and it shows up as one specific workflow.

Established CMMS platforms run the same problem in the opposite direction: asset, then maintenance programme, then work orders, then technician. The equipment record exists to feed the work-order engine. Here the equipment record is the product, and work orders, PM schedules and reports hang off it. Neither direction is wrong. They answer different questions — how do I run a maintenance organisation, versus how do I get four hundred rooftop units documented and retrievable — and which of those you are actually asking decides which product fits.

The ranking below is not ours

We commissioned a blind comparison from an AI model with no stake in the outcome, told it to search the current market before answering, and instructed it explicitly not to treat Equipment Tracker Pro as the presumed winner. It was given one question: I need a good mobile system to build and maintain a database of HVAC equipment. Not which is the best CMMS. Not which HVAC business platform should I buy. The scores answer that question and no other.

Read the margin honestly. 9.2 against 9.1 is not a rout, it is a nose. BuildOps is a genuine challenger and wins outright on a slightly different question. And on raw asset-management capability the same evaluation places Asset Panda above Equipment Tracker Pro, even while ranking it seventh on the HVAC-equipment question — capability and fit are not the same measurement, and it is worth knowing which one you are shopping for.

It named two kinds of evidence it would not accept, and that constraint is worth carrying over rather than quietly dropping, because both of them are on this page. It would not treat this site's own comparison grids as evidence about this product, on the grounds that a feature grid controlled by the vendor is not evidence about the vendor — the grid further down this page included. And it would not use app-store review counts, because this app's Google Play listing is still early-stage and carries very little independent review volume. Neither the grid nor the star ratings at the foot of this page fed into that score.

One caveat we will state rather than let you find: this is a single evaluation by a single model, not a user survey and not an audit. It is worth what one careful, disinterested read of the market is worth — more than a vendor's own scorecard, less than a season of your own crew using the thing.

If you are comparing us with BuildOps

BuildOps is not in the feature grid above, and that is deliberate: we have not verified its feature set, and filling in checkmarks we cannot support for a named company is how a comparison page stops being honest. What we can report is the score, because it did not come from us. The blind comparison put BuildOps at 9.1 against this product's 9.2 — the closest result in the whole ranking — and said plainly that it probably becomes number one outright if the question is running a commercial HVAC service company rather than building an equipment database.

BuildOps positions itself as an end-to-end platform for commercial HVAC and mechanical contractors: dispatch, work orders, quoting, service agreements, invoicing — the business itself. We are not going to characterise the rest of it; their own site is the authority on that. What we will describe is where the two do not overlap. Equipment Tracker Pro is the equipment record and the field workflow around it, priced for a technician or a small crew, with a permanent free tier and no sales call in front of it. If what you need is the record, this is the more direct route, and the free tier costs nothing to find out. If what you need is to run the company, this is not that, and BuildOps is.

If you are comparing us with MaintainX

The question people actually type into Google is whether a maintenance platform will do QR code equipment lookup and photo attachment for field technicians. Answering only for our side: yes, and it is the centre of the product rather than a bolted-on module. A scan opens the unit with no signal, photos attach to the equipment record and to every maintenance log without a cap on either tier, and the printed label can open a public read-only page for someone who will never install the app.

Where Equipment Tracker Pro is not the answer: multi-step work order approval chains, technician routing rules and enterprise ticketing across a large crew. There is a work order system here — status, priority, assignment, due dates and parts — plus recurring PM schedules. But the blind comparison ranks MaintainX third on the equipment question and would choose it over this product for a 150-person maintenance organisation. If that is your size, buy the thing that is built for it.

If you are comparing us with Limble

Same honest split as MaintainX. What Equipment Tracker Pro does is the equipment record itself: nameplate capture, uncapped photos, parts, maintenance history, recurring PM schedules with reminders, and EPA 608 leak-rate math sitting on the service log instead of in a separate compliance product. Core tracking runs on the phone first and syncs afterwards, so a signal-dead plant room is no obstacle to opening a record, logging a service call or attaching photos. The nameplate capture is the one exception: it calls Google Gemini and needs cellular or Wi-Fi, so you photograph the plate down there and run the extraction when you surface.

We are not going to characterise Limble; their site is the authority on what they do. The one thing worth repeating from the blind comparison is the part that does not flatter us — for a facility maintenance department, an industrial plant, or any organisation big enough to need real work-order administration, Limble is one of the products it would pick over this one.

If you are comparing us with Asset Panda

Asset tagging is the overlap, so here is precisely what ours does. Equipment Tracker Pro generates and prints QR asset labels in three modes. Link Mode opens a public read-only page for that unit from any phone camera. Text Mode encodes the fields you choose — model, serial, filter and belt size, notes — as plain text any camera can read. JSON Mode encodes a compact payload the app itself reads, which prefills a new equipment form for the person scanning to review and save. Layouts export print-ready for field label makers. Text and JSON labels are free to generate; Link Mode is the paid one, because it publishes and hosts the page the sticker points at. Scanning is free in every mode.

Now the part a vendor page normally leaves out. The blind comparison rates Asset Panda above Equipment Tracker Pro on raw asset-management capability, while ranking it seventh on the narrow HVAC-equipment question — both of those are true at once, and which one matters depends on what you are tracking. What sits behind our tag is HVAC-shaped: nameplate electrical specs, filter and belt sizes, refrigerant type and charge, warranty dates, service history. A configurable asset database spanning a mixed corporate estate is a different product category, and on that measure Asset Panda is the stronger tool.

If you are comparing us with EZOfficeInventory

This one is usually a stock-and-checkout question rather than an HVAC one. Equipment Tracker Pro tracks parts and consumables with live quantities, tracks service tools — multimeters, vacuum pumps, gauges, ladders — separately from fixed equipment, and checks them in and out by technician against a job-site building. Refrigerant is tracked properly too: standard cylinders and recovery tanks are distinguished, stock weights are serialized, and gas types are matched to the equipment and parts that take them.

It is not a general-purpose corporate asset register, and we would rather say so than take the sale. The data model assumes buildings, equipment, parts and refrigerant because that is the work it was built for. Tracking laptops and desks across departments is a different shape of problem and a general asset platform will fit it better. If you are moving a register across either way, the CSV importer reads any spreadsheet export, maps the columns and is free on both tiers.
