What It Does

Tap the Assess Condition button on any equipment record, choose your photo source (camera, gallery, or existing equipment photos already in the record), and the image is analyzed by Google's Gemini vision AI. Within seconds you receive a structured report: an overall severity rating of Good, Fair, or Poor, a plain-English summary of the unit's condition, a list of specific visible issues detected, and a prioritized set of maintenance recommendations.

The assessment is saved directly to the equipment's notes so it's part of the permanent record — date-stamped and available to every technician who touches that unit in the future.

What the AI Looks For

The AI is instructed to analyze: coil fin condition (bent, corroded, or blocked fins restrict airflow and kill efficiency), refrigerant line insulation (deteriorated insulation causes energy loss and condensation issues), visible oil staining around connections and line sets (a reliable indicator of refrigerant leaks), rust and corrosion on cabinet panels and electrical components, general cleanliness of the unit interior and exterior, and structural damage to the cabinet or refrigerant lines.

It's not magic — it can only assess what's visible in the photograph. Internal component failures, electrical issues, and refrigerant pressure problems require gauges and instrumentation. Think of it as a thorough visual inspection, performed instantly.

Using Equipment Photos Already in the Record

One of the most useful aspects of the feature is the "Use Equipment Photos" option. If a unit already has photos attached — from previous scans, maintenance visits, or installation documentation — you can run a condition assessment against those existing images without taking a new photo.

This means you can assess the condition of equipment remotely, or review how a unit looked at its last documented state, without being on-site. It's particularly useful for property managers reviewing their portfolio or service managers preparing technicians for a call.
