🏷️ QR Code Equipment Tracking: The Three Tag Modes, What a Scan Shows, and What It Costs

A QR tag on a rooftop unit is only worth screwing on if you know what the next person sees when they point a camera at it. The three scannable formats, what loads on the public page, what never gets published, what each mode costs, and the printers and label stock that survive a roof.

If you have ever walked a commercial building for a full mechanical audit, knocking out a handful of rooftop units, a boiler room and a few air handlers, you know the feeling when the last piece of equipment hits your database. The data is in. The specs are logged. The photos are attached. Then the physical task begins: how do you label these units so that the next technician, customer or building manager can pull up the specs in seconds?

I tagged a mechanical room in a medical office building last spring. Eleven units, printed labels, half an hour with a screwdriver. Two months later the building engineer called and asked what the stickers were for. He had scanned one, got a page full of specifications, and had no idea whether he was supposed to be looking at it.

So this article answers the questions that decide whether tagging is worth the afternoon: how the tags are laid out, what the three scannable formats do, what actually loads when somebody scans one, what never gets published, what each mode costs, and which printer and label stock survive a roof.

What Is On the Label, and What We Left Off It

When designing a physical asset sticker that has to live on a vibrating compressor box or boiler cabinet for a decade, every square millimeter of space matters.

When designing the layout, we made a deliberate choice to keep it clean and uncluttered. No redundant titles like "AC Condenser," no generic category stamps like "EQUIPMENT ASSET." If a technician is standing right in front of a unit, they already know what it is, and wasting precious label space printing that is a disservice. That freed-up space goes toward a larger, higher-density QR code that cameras can scan reliably in dim boiler rooms and tight mechanical closets.

Tags are designed with high-contrast solid green accents and clean typography that stays legible on both white and silver label stock. users who have uploaded a company logo in Settings will see their own logo displayed prominently on every tag, and the Equipment Tracker logo only appears as a fallback for accounts without one. Either way, the footer of every tag links to equipment-tracker.com so anyone who scans it knows where the data lives.

Three Scannable Formats (and When to Use Them)

Who is standing in front of the unit decides which format you want. Some need a web page, some need text they can paste into an email or a service ticket, and some need the record itself. So the generator makes three:

Public Specifications Link (Link Mode - Pro): Perfect for building managers, tenants, homeowners, or external contractors who do not have the app. This mode hosts and retrieves active equipment profiles from our cloud database. Once printed, anyone can scan the tag and load a read-only webpage on our custom domain (https://equipment-tracker.com/view/ID) showing complete specs and maintenance history. No app installation or login required. This is the one paid mode, and the hosted page is the reason: the sticker carries only an address, so the page behind it has to be published and kept current for the tag to keep working.

📝 2. Plain Text Details (Text Mode - Free): Encodes a structured list of specs using a safe, colon-free dashed formatting (e.g. "UNIT - Boiler #1"). Any standard phone camera reads it with no connection at all, because everything is on the sticker, which makes model and serial numbers easy to copy into an email, a text, or a third-party service ticket. Free to generate, because nothing about it is hosted anywhere once it is printed.

⚡ 3. Offline App-to-App Data Sync (JSON Mode - Free): Direct technician-to-technician transfer. It encodes the record as a text data object. Scanned inside the Equipment Tracker Pro app, the app detects the custom signature, decodes the specification payload, and offers to import and pre-fill the specs sheet entirely offline. That is what you want in a basement mechanical room with no internet and no cell service. Free to generate, for the same reason as Text mode.

A note for anyone who read an earlier version of this article, or an earlier version of the app. For a while the generator screen itself checked for a subscription before it would open, which meant a free account could not reach the mode picker at all and could not print even the two free formats. That was a bug, not the intent, and it is fixed. The generator now opens for everyone on both the phone and the web dashboard, Text and JSON print on a free account, and picking Link is the only stop.

JSON Mode Is App-to-App Only, By Design

The JSON sync QR code is not meant to be scanned with a stock camera app, and it cannot be. It encodes a fully encoded equipment data payload that only the Equipment Tracker Pro app knows how to decode. A stock camera will see it as a block of unreadable text.

That is intentional. This format exists purely for direct technician-to-technician data transfers, completely offline. A tag printed in JSON mode carries an OFFLINE SYNC badge, and the instruction line under the code reads "Scan in app to import record", so whoever picks it up knows not to waste time pointing a stock camera at it. If you need a tag that anyone can scan with their phone camera, use Link mode or Text mode instead; those are designed for that.

Pick the Mode by Who Is Going to Scan It

A rooftop unit at a property you maintain for someone else: Link mode. The owner, their engineer and any vendor they call can read the specs without you being involved.

A boiler room three floors underground with no bars: Text mode. Everything is on the sticker, so a dead signal changes nothing.

A unit you are handing to another technician who also runs the app: JSON mode. It moves the specs across without either of you typing.

There is nothing stopping you printing two tags for the same unit. On equipment that matters I put a Link tag on the cabinet and keep a Text label inside the panel door as the backup, because the cabinet tag is the one that gets painted over.

What the Public Page Actually Shows

This is the part people want pinned down before they print anything. A Link-mode scan opens a page carrying:

  • The unit name and type, manufacturer, model number, serial number, refrigerant, voltage, phase, BTU, HP, FLA/MCA, MOP and install date, plus any notes you wrote on the record.
  • A location banner: building name and address, floor, unit and the location inside the building. That banner exists because a roof with six identical condensers is exactly where a scan needs to tell you which one you are standing at.
  • An out-of-service badge and the reason, if the unit is flagged that way.
  • The installed parts, with part numbers, model numbers, filter and belt sizes, capacitor sizes, where each one is stored, when it was last replaced, and how many spares are on hand at that building.
  • The service log: date, type, description, technician name, vendor company and parts used.
  • The building contact name, phone and email, if you filled them in, so whoever scanned it knows who to call.

And What It Never Shows

Money. Not the cost recorded on a service log, not labor hours, not the labor rate, not materials cost. Those fields live on your record and are deliberately left off what gets published, in the assembly step itself rather than only in the page that draws it.

That distinction is the whole reason a tag on a customer-owned unit is safe to put up. The person scanning it sees what was done and what is in it. They do not see what you charged to do it.

The Two Buttons on a Unit Tag

A Link-mode page for a piece of equipment offers two actions: Log Completed Service, for work already done, which is how an outside contractor records a contactor replacement with no account and sends it for your approval, and Request Service, for a problem that still needs fixing, which asks what is wrong and how urgent it is on a scale of down, urgent, soon or routine.

Keeping those two apart matters more than it sounds like it should, and the reason is worth reading if you have ever had a fault report arrive looking like finished work.

So What Is Free?

This is the question behind most searches for free QR asset tracking, and the line falls in a more useful place than "the generator is paid". It falls between a tag that is finished when it comes out of the printer and a tag that points at something somebody has to keep hosting. Two of the three modes are the first kind, so they are free.

  • Scanning a tag: free, in every mode. The in-app scanner opens your matching record, or shows the specifications straight off a Text-mode sticker, or offers to import a JSON-mode one into a new record.
  • Reading a live public page: free and open to anyone with the link, no app and no login. Every tag already screwed to a unit keeps showing its specifications to whoever scans it.
  • The tracking underneath: free on the phone. Buildings, equipment, parts, service logs and recurring PM schedules are core tracking, not a paid tier.
  • Making Text-mode and JSON-mode tags: free, on the phone and on the web dashboard. Everything the tag carries is printed into the code, so once the label is on the unit there is nothing left running anywhere. Print as many as you like.
  • Making Link-mode tags: Pro. A Link-mode sticker carries a web address and nothing else, so it only means anything for as long as the app publishes a page for that unit and keeps it current. That hosted page is what the subscription pays for.
  • One paid step sits inside an otherwise free path, and it is worth knowing before you are standing on a roof. If you scan a Link-mode tag for a unit that exists in your cloud account but is not on the phone in your hand, the app offers an Import to Device button, and pulling that unit down with its specs, parts and service history is Pro. Scanning the tag and reading the public page stay free.
  • Also Pro: cloud photo storage, the web dashboard itself, the printed vendor check-in door sign and the tenant request tag. Those are hosted pages too, which is the same reason.

What a Scan Shows After You Edit at Your Desk

One behavior worth knowing if you work from a desk as well as a van. Editing a unit on the phone publishes it to the tag, and so does printing or downloading a Link tag from the dashboard, or approving a guest service report. Anything else you change at your desk reaches the tag the next time somebody opens the page.

That last part is the one worth a line of explanation, because for a long time it was a gap. When a visitor opens the page it renders the stored copy right away, then asks the server for a freshly assembled version of the record and folds that over the top. So a spec you corrected at your desk shows up on the next scan, with nobody republishing anything. The server hands that fresh copy back and stores nothing, so reading a page never rewrites it.

Two limits come with that, and both are deliberate. The installed-parts card, the spare counts, the filter and belt sizes and any custom fields stay exactly as the phone last published them, because a spare count cannot be reproduced faithfully at read time and half a refreshed card contradicting the other half is worse than a stale one. And the refresh can only add or improve: a field you clear on the dashboard keeps showing its old value until a phone republishes that unit. Somebody is reading this page in a plant room, so nothing is allowed to disappear underneath them.

How to Make the Tags

On the web dashboard, open QR Generator from the More menu. You can also start from a building, which selects every unit in it at once, or from a single unit's own page. Choose your mode, check the boxes for what you want, and either print the sheet or download one label as a PNG. There is a High Contrast Black & White toggle that strips the color styling for thermal printers.

On the phone, the QR CODE option in the share picker does the same job for the unit you are looking at. Both screens open on a free account, and both let you pick Text or JSON and print. Tapping the Link tab is the only stop, and it explains what the paid mode does rather than dropping you on a pricing page. One note about the web route: it prints from your cloud copy of the records, and the phone only uploads that copy when cloud sync is on, so a free account working on the dashboard should either turn sync on or bring a backup in from the Import page first. The phone reads its own database and needs neither.

The code itself is drawn as a 300 pixel image, and the PNG download captures the whole label at four times the size you see in the preview, which is plenty for a full card off an office printer and still comfortable at a 2 inch field label. Print at one of the sizes the generator offers rather than enlarging a small label afterwards.

If You Printed Tags Earlier This Year and Gave Up on Them

This one deserves saying plainly rather than being buried in release notes. A check on the shape of a scanned ID only accepted certain lengths of code. On my own account, 183 of 196 published pages did not match the shape it was guessing at, so somebody scanning a sticker was told the code matched no unit in their database and was offered a Create New button. The dozen or so that did work is why it read as random flakiness rather than as broken.

That is fixed, and the guess is now one shared check instead of five separate copies of it. If you printed a set of tags and quietly stopped pointing customers at them, they work now, and you do not need to reprint anything. A service log saved with no type used to throw on the way to drawing its badge and blank the whole public page, so a single odd record could take a unit's page down. That is fixed too, and a log with no type now simply reads SERVICE.

What Is Actually Worth Tagging

Practical order, from someone who has tagged sites and then had to live with the result.

Start with anything you will be asked about over the phone: rooftop units, air handlers, boilers, chillers, walk-in refrigeration, and the pumps in the boiler room that all look identical and are never labeled. Put the tag on the cabinet, not on a removable access panel, because panels get swapped between units and then the tag lies. Do not put it on the electrical disconnect either, for the same reason.

Then tools. A tag on a recovery machine or a set of gauges gives you check-in and check-out from a phone camera, and tells you which job site it went to.

Then the building itself. A building-level code is what a vendor scans to sign in, and it is also what a tenant scans to report a problem, which is a different tag with a different job.

Choosing the Right Label Printer for Field Asset Tags

A premium digital asset tag is only as good as the physical label it is printed on. Paper stickers disintegrate, peel, and fade within months in the field, so you need a thermal transfer printer and weather-resistant synthetic label stock. What decides that is far more the label stock and the adhesive than the file. Buy one roll before you buy a case, print a tag on it, and leave it on a unit through a summer. That is the only test that tells you anything.

Tag one mechanical room before you tag a portfolio

Tagging is one of those jobs that is genuinely quick per unit and genuinely long across a property. Do one room first and you will find out what your buildings need before you commit an afternoon to it.

Get the units in before the stickers go on

A tag is a pointer to a record, so the record has to exist. Photograph the nameplate on each unit and the AI scanner fills in what is legibly stamped on the plate, usually under ten fields depending on how much of it survived. That needs a connection, like any AI feature. Everything after it, the records themselves, works offline.

Print a test tag and scan it with somebody else's phone

Your own phone opens your own record, which proves nothing about what a customer sees. Hand it to someone who does not have the app. What loads for them is the public page, and it is the only version of the page that matters.

Decide mode per building, not per unit

Mixing modes across one site is how a technician ends up scanning three tags to figure out which kind you used. Signal in the mechanical spaces decides it: bars means Link, no bars means Text or JSON.

Is QR code equipment tracking free?

Mostly, and it is worth being precise about the part that is not. Scanning a tag is free and needs no account, reading a live public page is free and open to anyone with the link, and the equipment tracking underneath is free on the phone. Do I need a special printer for asset tags?

Not to start. A tag prints on an ordinary office printer cleanly enough for indoor equipment. For anything outdoors or in a washdown area you want a thermal printer and synthetic label stock, because paper stickers peel and fade within months.

Yes. A Link-mode page offers Log Completed Service, which lets a vendor record what they did with no app and no account. It arrives for your approval rather than writing straight into your history.

What happens if I scan a tag for a unit I already have?

It opens your copy rather than offering you a second one. This comes up most with a unit somebody shared to you, because the sticker still carries the sender's record ID and your copy can be filed under a different one, so the ID on the label matches nothing on your phone. The scanner then looks the tag up in the cloud and compares it against what you already hold: a serial number on both sides settles it on its own, and with no serial it wants the model, the name and the building to agree before it will call it the same unit. When it finds your copy it says "Already on this device" and takes you there. Only when nothing matches does it offer Import to Device, and that pull is the Pro step.
