Tenant Door Tags
Step-by-Step Guide
Print a QR tag for the inside of each unit’s door. A resident scans it to see the service coming up and done recently for their unit, and to send a maintenance request that already knows which unit it came from.
The whole feature: Tenant request QR codes covers the safety check, notifications and limits.

📱 Mobile App Guide
Open the unit
Open the location, tap Site Info, open UNITS, TENANTS & RENT and tap TENANTS & DOOR TAGS, the green button at the top of it. A location with no units yet walks you through four steps: the units (One house, or a range like 1-12), their tenants, who gets tenant alerts, and the door tags. After that, tap a unit, ADD A UNIT, or ADD SEVERAL UNITS.Print the tag
In the unit, under DOOR TAG, tap CREATE THE DOOR TAG. Then PRINT DOOR TAG (PDF) makes a letter-size tag, and MAKE A STICKER LABEL prints on label stock. On the list, CREATE MISSING TAGS and PRINT ALL TAGS do every unit at once, one tag per page. A tag will not print until someone is on the TENANT ALERT LIST, so a request always reaches a person.Write the building info for tenants
In Site Info, under UNITS, TENANTS & RENT, open BUILDING INFO FOR TENANTS and write it once: the office, its phone, email and hours, the emergency number, what counts as an emergency, the shutoffs, and anything else. For one unit that differs, open the unit, then BUILDING INFO ON THIS DOOR TAG, and COPY IN THE BUILDING INFO FOR TENANTS to start from it.What the resident sees
Scanning the tag opens Request service for that unit: an Emergency box, COMING UP and RECENT SERVICE for that unit, who to contact, and a request form with room for up to three photos. If rent is set up for the door tag, a Pay rent button is there too. No app and no account.Handle the request
Requests arrive by email or text to the TENANT ALERT LIST, and in the Inbox: on the home screen open WORKFLOW, tap Inbox, then the Tenants tab. On a team, choose who under ASSIGN TO, then CREATE WORK ORDER, or Mark handled without a work order.
Good to know
- Door tags are Pro: the tag is a live URL code, and a request reaching you needs Pro.
- A request never becomes a work order on its own. You review it first.
- Each tag takes one request an hour, so one resident never blocks a neighbour.
- Replacing a tag retires the old one at once, so a lost card stops working.
- A resident reporting gas, fire, water or a door that will not lock is shown the number to call instead of a form.

Frequently Asked Questions
Everything you need to know about the Equipment Tracker Pro guides and features.
What kind of guides are available in the hub?
Step-by-step guides for the app's features — AI scanning, QR tagging, inventory, maintenance logs, invoices and getting paid, receipts, PM schedules, work orders, maintenance plans, tenant door tags and Teams — plus an overview guide for the web dashboard. Most of the older guides carry real app screenshots; the newer ones are short worded walk-throughs that name the real buttons.
Are these guides specific to mobile or web?
Each guide has a Mobile App / Web Dashboard toggle, but most of the detailed step-by-step content lives on the mobile app (iOS & Android) since that's where most features live today. The web dashboard has its own overview guide, and we're adding more web-specific guides as dashboard features expand.
Can I access these guides offline?
The guides website needs an internet connection. On the phone, core tracking works fully offline — your equipment records, parts and maintenance logs are readable and editable in zero-signal zones — while AI scanning, AI diagnostics, cloud sync and hosted QR pages need a connection.
Who are these CMMS guides written for?
They are written for field HVAC technicians, property maintenance crews, and facility managers looking to digitize their workflows.
Do the guides include instructions for team management?
Yes — the Teams guide covers inviting your crew with a code and choosing each person's role, and there are guides for cloud sync & sharing (including transferring a building to another owner) and for the vendor check-in system, which turns a building into a QR-code entry point for contractors.
